How to source coffee from Vietnam: a practical importer workflow

The best sourcing process starts before the quotation. Define the product, commercial route and verification plan first.

How to source coffee from Vietnam: a practical importer workflow

1. Start with the application

State whether the coffee is for roasting, soluble production, blending, specialty retail, drip bags or another finished format. The application determines which quality variables matter most.

2. Build the specification

For green coffee, define species, grade or screen, process, moisture, defect tolerance, crop preference, packing, trial volume and recurring volume. For finished coffee, add roast profile, format, recipe, packaging, shelf-life expectations and labelling market.

3. Sample before negotiating the full order

A sample should test whether the proposed product is technically fit for use. Keep sensory evaluation, physical grading and commercial negotiation as separate checkpoints. If the order depends on third-party testing or destination-market documents, identify those before approving production.

4. Lock the shipment logic

Confirm Incoterm, port, lead time, payment structure, inspection responsibility, documents and how quality claims are handled. The objective is not to make the contract longer; it is to make operational expectations visible before money and cargo move.
